Knowledge sources
Notion
Connect Notion, choose the pages to share, and your agent answers from the docs your team already keeps — synced daily.
If your team writes its policies, product notes or support playbooks in Notion, your agent can learn from them directly. Connect your Notion workspace, choose which pages to share, and OrbitBase imports and trains on them. It re-syncs every day, so edits in Notion reach your agent without any extra work.
Before you start
- You need access to the Notion workspace that holds the pages, with permission to share them with an integration.
- Only the pages you share are imported. OrbitBase can't see anything else in your Notion workspace.
Connect Notion
Open the Notion source
In the sidebar, click Sources, then Notion.
Start the connection
Click Connect Notion. OrbitBase opens Notion's sign-in.
Choose the pages to share
In Notion's own dialog, pick the pages you want your agent to learn from and allow access.
Return to OrbitBase
You're brought back to OrbitBase and see "Notion connected. Sync your pages to start training." The card now reads Connected to followed by your Notion workspace's name.
You can also connect Notion from Settings → Integrations or during the guided setup.
Import your pages
Click Import pages. The sync runs in the background — you can leave the page and it carries on without you. Pages appear in the list as they come in from Notion, and training starts on each one automatically.
When it's done you'll see a summary, such as "Sync finished — 12 new pages. Training has started." The card shows when the last sync ran, such as Last synced 5 minutes ago.
Keep pages in sync
- Automatic daily sync. OrbitBase re-syncs your shared pages every day. Only pages that changed are retrained.
- Sync on demand. After a big edit in Notion, click Sync again to bring the change in straight away.
- Adding pages later. Share more pages with OrbitBase from Notion. They're picked up on the next sync — click Sync again if you don't want to wait.
Sync limits
- Each sync imports up to 100 shared pages.
- OrbitBase reads a page's text blocks — paragraphs, headings, lists, to-dos, toggles, quotes, callouts and code — including content nested up to three levels deep. Images, embedded files and tables aren't read, so put anything your agent needs from a table into regular text.
- Up to 200,000 characters are kept from a single page. Anything beyond that isn't used, so split very long pages.
- Every page counts toward your plan's knowledge storage. If storage runs out mid-sync, the remaining pages are skipped and the card says so. Free up storage or upgrade, then click Sync again.
Retrain or remove a page
Imported pages appear in a searchable list with their status. Open a page's row menu to Train it again, or Delete it.
Deleting a page removes it from your agent's knowledge, and future syncs won't import it again. To bring a deleted page back, disconnect and reconnect Notion.
Rather than deleting pages you don't want, stop sharing them with OrbitBase in Notion. That way the choice lives in one place.
Disconnect Notion
Owners and admins can click Disconnect on the Notion card and confirm. Imported pages stop syncing, but pages already trained stay in your agent's knowledge until you delete them. You'll see "Notion disconnected. Pages you already imported are still here."
Troubleshooting
"Notion access was declined."
You cancelled or didn't grant access in Notion's dialog. Click Connect Notion and allow access to the pages you want.
"That Notion sign-in link expired. Try connecting again."
The sign-in took too long. Start again with Connect Notion.
A page imported with no text
Notion pages made mostly of images, embeds or linked databases may have little text to train on. You'll see "This page has no text to train on." Add written content to the page in Notion, then sync again.
"Some pages were skipped — your plan's training storage is full."
Your plan's knowledge storage ran out during the sync. Delete sources you no longer need or upgrade your plan, then click Sync again.
"Notion sync failed"
Something interrupted the sync. The card shows the reason under Last sync didn't finish. Click Sync again to retry. If Notion access was removed, reconnect Notion.
