Plans and limits
Compare OrbitBase's four plans, see exactly what each one limits, and learn what happens when you reach a limit.
OrbitBase has four monthly plans: Starter, Growth, Pro and Scale. Every plan runs the same product, including the AI agent, the knowledge base, the shared inbox, leads, cases, the website widget and the two system actions. What changes between plans is how much of it you get.
Compare the plans
| Starter | Growth | Pro | Scale | |
|---|---|---|---|---|
| Price per month | $29 | $69 | $149 | $299 |
| AI replies per month | 250 | 750 | 2,000 | 5,000 |
| Cases per month | 100 | 500 | 2,000 | Unlimited |
| Team members | 2 | 5 | 10 | 20 |
| Website widget | 1 | 1 | 1 | 1 |

| Knowledge storage | 5 MB | 25 MB | 100 MB | 500 MB |
| Priority support | No | No | No | Yes |
Prices are in US dollars. Growth is the plan we recommend for most teams.
Every plan also includes:
- every channel: website widget, Telegram, Messenger, Instagram, WhatsApp and Slack
- every knowledge source: documents, websites, free text and Notion
- every action type, including Collect Leads and Escalate to Human
- the shared team inbox and human handoff
- leads with pipeline stages, tags and custom fields
- cases with custom states, case types, custom fields, worknotes, attachments and CSV export
What counts toward each limit
AI replies are the replies your agent writes, on any channel or in the playground. They reset at the start of each billing period.
Cases count the new cases opened in a billing period, whether your team opens them or your agent does. They reset each period. Deleting a case doesn't give its slot back.
Team members counts everyone on your team plus any invites that haven't been accepted yet. See Team and roles.
Messaging channels counts the messaging apps you've connected: Telegram, Messenger, Instagram, WhatsApp and Slack. Your website widget is never counted. Every workspace gets one on every plan.
Configured actions counts the actions you've added yourself, such as Calendly, Slack alerts or custom actions. Collect Leads and Escalate to Human are free on every plan and never count.
Knowledge storage counts the documents, web pages and text in your sources.
Limits belong to your organisation, not to a single workspace. If you have several workspaces, they share one set of limits. That's why the Channels page can show a higher count than the list below it: another workspace may hold channels of its own.
What happens at a limit
You'll see a warning before you get there. Meters turn amber at 80%, and owners and admins get an email when 80% of AI replies or cases are used.
| Limit | What happens when you reach it |
|---|---|
| AI replies | Your agent stops replying on every channel. Messages still arrive in your inbox and wait for your team. Upgrading restores replies straight away, or they come back when the period renews. |
| Cases | New cases can't be opened until the period renews or you upgrade. Existing cases stay fully workable. If the agent tries to open one, it tells the customer your team will follow up and hands the conversation to a person. |
| Team members | New invites are skipped with "No seats left on your plan." |
| Messaging channels | You can't connect another channel. |
| Configured actions | You can't create another action. |
| Knowledge storage | You can't add more to your sources until you free up space or upgrade. |
Nothing is ever deleted because you hit a limit.
Moving to a smaller plan
You can only switch to a smaller plan if everything you have fits on it. If it doesn't, OrbitBase tells you exactly what to remove. For example: "Starter includes 1 messaging channel (you have 3 connected — disconnect 2)." Make room, then switch. AI replies aren't checked, because going over a smaller allowance just ends that period's replies early.
If your plan changes some other way and you end up over a limit, nothing is deleted. Your oldest channels and actions, up to the limit, keep working. On the rest, the agent stops answering or stops using the action until you upgrade or remove some. Messages on those channels still arrive in your inbox for your team.
If a payment fails
If a payment is declined, your subscription shows Payment failed. You keep full access while we retry the charge automatically over the next few days, and your agent keeps answering customers. Owners and admins get an email, and the Billing page asks you to update your payment method.
If the payment keeps failing, the subscription ends.
If your subscription ends
When a subscription is cancelled, you keep access until the end of the period you've paid for. After that:
- Your agent stops replying on every connected channel. New messages still reach your inbox but wait for someone to pick them up.
- OrbitBase takes your team to the plans page instead of your workspace. An owner or admin can choose a plan to start again.
- Nothing is deleted. Your conversations, contacts and knowledge sources are all still there when you come back.
