The setup wizard
A guided, six-step setup that names your workspace and helps you connect channels, apps, knowledge and actions in one go.
Right after you choose a plan, OrbitBase opens a guided setup. It walks you through everything a new workspace needs — your business details, channels, connected apps, knowledge and actions — in one flow. It takes about five minutes, and every step after the first is optional.
The stepper at the top shows where you are (for example, Step 3 of 6) and which steps are Done.
Who sees the setup
The setup is for the person who bought the plan and for other owners and admins. Teammates with the Member role never see it — they go straight to the dashboard.
If you leave before finishing, your next sign-in brings you back to the setup, starting at Your business. Once you finish it or skip it, sign-in takes you straight to your dashboard.
The six steps
1. Workspace
Enter Your name and a Workspace name, usually your business or brand. This step creates your workspace, so it's the only one you can't skip. You can rename the workspace later in Settings → Workspace.
2. Your business
Tell us about your business asks a few quick questions: your Website, What do you sell?, Industry, Team size, Customer messages a month, Your role, What should OrbitBase help with? (pick up to three) and How did you hear about OrbitBase?
What you sell, your industry, team size and how you heard about us are required; the rest are optional. Your answers stay private to the OrbitBase team. Your customers never see them, and they don't change how your agent behaves.
3. Channels
Where do your customers message you? lists Instagram, Messenger, WhatsApp, Telegram and Slack. Click Connect on a platform and follow its sign-in, or paste a bot token for Telegram. Each account you connect becomes its own channel, and you can click Add another to connect more accounts on the same app.
A meter shows how many Messaging channels your plan includes. The website chat widget is included on every plan, is already switched on, and doesn't count toward this limit — you can add it to your site from Channels whenever you're ready.
4. Integrations
Connect your apps lets you connect Notion (for knowledge) and Calendly, Cal.com, Slack and Intercom (for actions).
Connecting an app only gives OrbitBase access. You import Notion pages in the Knowledge step, and your agent only uses a tool once you add an action for it.
5. Knowledge
What should your agent know? has four tabs:
| Tab | What you add |
|---|---|
| Documents | PDF, Word or text files — product guides, policies, price lists. Up to 10 MB each. |
| Websites | A single page, or a sitemap to import many pages at once. |
| Answers | Answers you write yourself, such as delivery times, returns, opening hours and sizing. Click Write an answer. |
| Notion | Pages you share with OrbitBase from your Notion workspace. Click Import pages. |
Documents you upload here start training straight away. Added so far lists your newest sources with their status and refreshes on its own while anything is training. To see everything, click Manage all sources.
A Training storage meter shows how much of your plan's knowledge storage you've used. It's shared by every workspace in your organisation.
6. Actions
What can your agent do? shows three groups:
- Ready out of the box — the built-in system actions, already switched on. Edit their instructions to match how your team works.
- Suggested from your tools — actions for the apps you connected in the Integrations step. Click Add on a suggestion to set it up.
- Your actions — anything you've added. Click Add an action to choose from every action type.
An Actions meter shows your plan's allowance. Built-in actions never count toward it.
When you're done, click Finish setup. OrbitBase shows You're all set and takes you to your dashboard.
Moving through the setup
- Continue moves to the next step. It reads Skip for now until you've set something up on that step.
- Back returns to the previous step. Nothing is lost — channels, apps, sources and actions save the moment you add them.
- Skip setup, at the top, leaves the setup entirely. Confirm with Go to dashboard, or choose Keep setting up to stay.
When a plan limit is reached, the meter says so and the buttons to add more switch off. Upgrade plan opens your billing settings in a new tab, so you don't lose your place.
Finishing later
Skipped steps aren't lost. The Get your agent live checklist on your dashboard tracks the essentials — Connect a channel, Add what your business knows and Review what your agent can do — and links you to the right page for each. Everything in the setup is also available from the sidebar: Channels, Sources, Actions and Settings → Integrations.
Troubleshooting
A sign-in window didn't open when I clicked Connect
Your browser may have blocked the pop-up. OrbitBase then opens the sign-in in the same tab instead, and when it finishes you aren't returned to the setup automatically. Your connection is still saved. To carry on, sign in to OrbitBase again — an unfinished setup reopens — or use the dashboard checklist.
I can't see the setup
Only owners and admins see it, and only until it's finished or skipped. Everything it covers is available from the sidebar.
