Actions
Calendly
Let your agent offer real times from your Calendly calendar and book the one the customer picks, without leaving the chat.
The Calendly action lets your agent book meetings during a conversation, instead of pasting a link and hoping the customer follows it. It reads your live availability, offers the customer real times they can tap, and books the one they choose.
Each Calendly action books one event type, such as a demo or an onboarding call. If you offer several kinds of meeting, add one Calendly action for each and tell your agent in the instructions when to use which.
Before you start
- You need to be a workspace owner or admin.
- You need at least one active event type in Calendly.
- Each Calendly action counts toward your plan's action limit. See Plans and limits.
Booking straight from the chat needs a paid Calendly plan. On a free Calendly plan, your agent still shows real availability, but instead of booking it gives the customer a link to the exact time they chose, so they can confirm it on Calendly's own page.
Set up a Calendly action
Connect Calendly
Go to Settings → Integrations. Under Tools, click Connect on the Calendly card and sign in to Calendly in the window that opens. See Integrations.
Add a Calendly action
Go to Actions and click Add action. Choose Calendly and click Continue.
Name it and write the instructions
Give the action a Name, such as "Book a demo". The starter Instructions tell your agent to offer a meeting when a customer wants to talk to someone, asks for a demo or a call, or would be better helped live. Adjust them to suit.
Choose the meeting
Under Meeting, pick the Calendly event this action books. Each option shows the event's name and length.
Add extra questions (optional)
In Details to collect, add anything else you want to know before the meeting, such as company or what they'd like to discuss. The agent asks for these alongside the customer's name and email.
Choose what happens next
Under When it's done, choose whether your agent keeps chatting, closes the conversation, or hands it to your team once the meeting is booked.
Create the action
Click Create action.
What the customer sees
When a customer asks to book a meeting, your agent works through four steps:
- It asks which day suits them. It doesn't open with a form or ask for an email before showing them anything.
- It shows free times they can tap, in the customer's own timezone. Up to 12 times are offered at once. If the day they asked for is full, the agent looks up to a week ahead for the next day with openings.
- It asks who they are. On your website widget and in the Playground, this is a short form with Full name and Email address. On social channels, the agent asks in the chat.
- It shows exactly what's about to be booked, with Confirm booking and Cancel buttons. The meeting is only created once the customer confirms.
After booking, the agent replies with a confirmation card carrying Reschedule and Cancel meeting links. The customer also gets Calendly's usual confirmation email.
No meeting is ever booked without that confirmation step. The booking step checks the conversation itself and won't run until the customer has seen the confirmation and replied to it.
Every time the agent offers is a real opening on your calendar at that moment. It never invents a time.
Testing in the Playground books real meetings on your calendar. Cancel any test bookings afterwards in Calendly.
Troubleshooting
My event isn't in the list
Only active event types appear. Create or activate the event in Calendly, then reload the page.
The agent sends a link instead of booking
Your Calendly account is on a free plan, which doesn't allow booking from outside Calendly. Upgrade your Calendly plan to book straight from the chat.
I disconnected Calendly
Every Calendly action stops at once, and your agent tells customers it can't check the calendar rather than failing silently. Your actions are kept, so reconnecting in Settings → Integrations brings them back.
