Actions
Cal.com
Let your agent offer real times from your Cal.com calendar and book the one the customer picks, right in the conversation.
The Cal.com action lets your agent book meetings in the conversation, for teams whose calendar lives in Cal.com. It reads your live Cal.com availability, offers the customer real times they can tap, and books the one they pick, complete with Cal.com's own invite and reschedule links.
It works the same way as the Calendly action. Each Cal.com action books one event type. If you offer several kinds of meeting, add one action per event and use the instructions to tell your agent when to use each.
Before you start
- You need to be a workspace owner or admin.
- You need at least one event type in Cal.com.
- Each Cal.com action counts toward your plan's action limit. See Plans and limits.
Set up a Cal.com action
Connect Cal.com
Go to Settings → Integrations. Under Tools, click Connect on the Cal.com card and sign in to Cal.com in the window that opens. See Integrations.
Add a Cal.com action
Go to Actions and click Add action. Choose Cal.com and click Continue.
Name it and write the instructions
Give the action a Name, such as "Book an onboarding call", and adjust the starter Instructions. By default, your agent offers a meeting when a customer wants to talk to someone, asks for a demo or a call, or would be better helped live.
Choose the meeting
Under Meeting, pick the Cal.com event this action books. Each option shows the event's name and length. Events that are hidden on your Cal.com profile are marked Hidden but can still be booked.
Add extra questions (optional)
In Details to collect, add anything else you want to know before the meeting. The agent asks for these alongside the customer's name and email.
Choose what happens next
Under When it's done, choose whether your agent keeps chatting, closes the conversation, or hands it to your team once the meeting is booked.
Create the action
Click Create action.
What the customer sees
The booking runs in four steps:
- The agent asks which day suits them, and nothing else.
- It shows free times they can tap, in the customer's own timezone. Up to 12 times are offered at once. If that day is full, the agent looks up to a week ahead for the next open day.
- It asks for their name and email. On your website widget and in the Playground this is a short form. On social channels, the agent asks in the chat.
- It shows exactly what's about to be booked, with Confirm booking and Cancel. The meeting is only booked once the customer confirms.
Once it's booked, the customer gets Cal.com's usual confirmation email, and the agent leaves a card in the chat with Reschedule and Cancel meeting links.
No meeting is booked without the confirmation step. The booking step checks the conversation itself, not just the agent's word, before it runs.
Events that need your approval
If an event uses Cal.com's "Requires confirmation" setting, your agent books it as a request. It tells the customer the booking is waiting on you, rather than calling it confirmed, and the card in the chat says the meeting was requested.
Testing in the Playground creates real bookings in Cal.com. Cancel any test bookings afterwards.
Troubleshooting
My event isn't in the list
Create the event type in Cal.com, then reload the page.
I disconnected Cal.com
Every Cal.com action stops working straight away, and your agent tells customers it couldn't complete the booking. Your actions are kept, so reconnecting in Settings → Integrations brings them back.
